As an international recruitment agency and immigration consultancy, we collect, use, and disclose information on a daily basis in the course of providing our consulting, recruitment, immigration file preparation, travel coordination, and arrival services in Quebec.
Confidentiality and professional secrecy are essential components of our relationship with our clients. We are committed to complying with applicable legal and ethical standards when handling all personal information.
The purpose of this Privacy Policy is to inform you of our practices regarding the collection,use, disclosure, and retention of personal information. By providing us with personalinformation (through our website, contact forms, email communications, in person, or by telephone), you consent to its processing in accordance with the terms of this Privacy Policy. You also authorize DR Recrutement International, its third parties, and service providers to process your personal information for the purposes set out below.

Who We Are and What We Do?
 

DR Recrutement International (“DR”) is an international recruitment agency and immigration consultancy.
Unless otherwise specified, DR acts as the “data controller” with respect to your personal information. In other words, DR is the entity that, alone or jointly with others, determines the purposes and means of processing your personal information. In accordance with applicable Quebec legislation, DR is also designated as the “person in charge of the protection of personal information.”
 

What Personal Information Do We Collect?

When you visit our website, use our contact forms, or communicate with us, we collect certain personal information about you.
 

The personal information collected in a file is necessary for carrying out a specific mandate related to recruitment, Canadian immigration, or the preparation of a candidate’s arrival. This personal information is therefore collected for the purpose of achieving one or more objectives set out in the service agreement between DR and its clients.

With respect to recruitment mandates, personal information may be used to recruit candidates abroad or already in Canada, to post job offers on social media, to prepare employment confirmations, or for any other related tasks.
 

With respect to immigration mandates, personal information may be used to provide legal opinions during consultations, to complete various forms from government authorities (Employment and Social Development Canada (ESDC), Ministère de l’Immigration, de la Francisation et de l’Intégration (MIFI), Immigration, Refugees and Citizenship Canada (IRCC), etc.), to submit immigration applications, to respond to requests for additional information from government authorities, or for any other related tasks.
 

With respect to mandates related to the preparation of candidates’ arrivals, personal information may be used to purchase airline tickets, schedule appointments with the Société de l’assurance automobile du Québec (SAAQ), register for private health insurance, assist with the Canadian customs process, or for any other related tasks.
 

It is also possible that personal information may be used for internal statistical purposes at DR Recrutement International or to communicate information regarding new service offerings, immigration news, or any information relevant to a Client’s request.
 

We may collect and process different types of personal information as part of our activities and service delivery, including:
 

  • identity information, such as a first name or last name;

  • contact information, such as a name, address, email address, and phone number;

  • biographical information such as a job title, employer name, and photographs;

  • billing and financial information, such as a billing address, bank account information, or payment details;

  • website usage information and other technical information, such as details about visits to our websites, your interaction with our advertising and online content, or information collected through cookies and other tracking technologies;

  • identification data and other background verification data, such as a copy of a driver’s licence, passport, or utility bill, proof of beneficial ownership, or information regarding the source of funds, required to comply with anti-money laundering laws and collected as part of our client intake and ongoing monitoring procedures;

  • any other personal information provided. Please note that if you provide us with personal information about other individuals (such as your clients, directors, officers, shareholders, or beneficial owners), you must ensure that you have properly informed them that you are providing their information to us and that you have obtained their consent for such disclosure;

  • where applicable, proof of consent that has been given to us (date, time, method), in circumstances where such consent is required for the processing of personal information.

 

Some personal information collected may be sensitive in nature, for example information related to a minor client or medical information. If such personal information is required for the execution of a mandate, the client expressly consents to providing it.
 

We do not knowingly collect information from children or individuals under the age of 14. If you are under 14 years old, please do not send us personal information without the explicit consent of a parent or guardian. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact us. If we become aware that we have collected personal information from minors without confirmation of parental consent, we will take the necessary steps to remove that information from our servers.

It is not possible to send us confidential information until we have confirmed in writing that we represent you, represent your company or organization, or act on your behalf or on behalf of your company or organization. Unsolicited emails from individuals who are not clients do not automatically create a lawyer-client relationship. These communications may not be protected by solicitor-client privilege and may therefore be disclosed to third parties.

 

How do we collect your personal information?

 

We collect your personal information directly from you during our interactions with you and through contact forms, as follows:

  • During the provision of legal services to you;

  • During online applications for international recruitment;

We also collect publicly available information, including on public platforms, including our website.

Personal information is then stored in the Google Drive cloud and in applications from the Zoho Corporation suite (Zoho Books, Zoho Sign, Zoho Recruit, Zoho Projects).

It is important to note that DR is based in Quebec and personal information is governed by the laws in force in Quebec. However, in certain situations, personal information may be transferred outside Canada and would therefore be governed by the laws in force in the country where the information is located. DR clients consent to this possibility.

 

How do we use personal information?
 

We use your personal data in order to provide our services and improve them. We also use it to meet our legal obligations. We may use your personal information in one or more of the ways described below, with your consent (whether implied or explicit). In each situation, we specify the reasons why we use your personal information:
 

  • To provide our recruitment services, legal services, and other related services, and to carry on our business, administer and deliver our services, including fulfilling our obligations arising from any agreement entered into between you and us.

  • To respond to requests for information or other inquiries from individuals visiting our websites.

  • For marketing and business development purposes, including providing information about new services and sharing updates on legal developments.

  • For internal recruitment purposes, including processing job applications and assessing whether a person meets the requirements for a position at DR.

  • To comply with our legal obligations.

With whom do we share personal information?

We may share your personal information with our employees, clients, service providers, partners, and provincial and federal government authorities. We may also disclose it to comply with legal obligations or to assert our rights.
 

We may share personal information with certain third parties, including:

  • third-party service providers who provide services related to websites, application development, hosting, maintenance, and other technology services;

  • government authorities as part of immigration application submissions, and law enforcement authorities as required by applicable laws in the context of inspections or compliance reviews.
     

We will only use personal information for the primary and legitimate purpose for which it was collected, or for purposes compatible with that primary purpose.
 

Personal information provided as part of a mandate with DR may be shared with DR Recrutement International employees assigned to work on that mandate and who have signed the company confidentiality agreement.

How long do we retain personal information?
 

Personal information provided is treated confidentially. Only DR employees who have signed the company confidentiality agreement will be authorized to access the relevant personal information. DR employees must, during and after their employment, maintain the confidentiality of all confidential information and must not use or disclose it except in the performance of their duties and only to the extent necessary. DR employees will take reasonable precautions to prevent any accidental disclosure of confidential information.
 

Several security measures are implemented so that DR can ensure the confidentiality and security of Clients’ personal information. These measures include physical measures such as locked offices, technological measures such as password-protected computers, and administrative measures such as confidentiality agreements signed by DR Recrutement International employees.
 

DR is required to comply with the Regulation respecting the accounting and professional practice standards of lawyers, as well as the Regulation respecting personnel placement agencies and recruitment agencies for temporary foreign workers regarding the retention of personal information.

DR undertakes to securely destroy personal information at the appropriate time.

 

What rights do you have regarding your personal information?
 

You have various rights regarding your personal information. In certain circumstances, and in accordance with applicable data protection laws, you may have the following rights:
 

  • Access: the right to request whether we process information about you and, if so, to request access to that personal information;

  • Accuracy: we must take reasonable steps to ensure that the personal information we hold is accurate, complete, not misleading, and up to date;

  • Correction: the right to request correction of incomplete or inaccurate personal information we hold;

  • Erasure: the right to request that we erase, destroy, or remove personal information in certain circumstances. There are some exceptions where we may refuse a request for erasure or destruction, including where personal information is required to comply with the law or a contractual agreement, or in connection with claims;

  • Objection: the right to object to the processing of personal information based on legitimate interest (or that of a third party) or for certain direct marketing purposes. However, we may have the right to continue processing the information;
